Privacy Policy

Effective Date: February 24, 2026
Last Updated: February 24, 2026

1. Introduction

Front Porch Ventures Inc. ("Company," "we," "us," or "our") operates the RetentionZen platform and website located at retentionzen.com (the "Service").

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our platform, or otherwise interact with us. Please read this policy carefully. If you do not agree with its terms, please discontinue use of the Service.

2. Information We Collect

2.1 Information You Provide Directly

  • Account registration data — name, email address, company name, job title, and password when you create an account.
  • Payment information — billing address and payment method details processed securely via our third-party payment processors. We do not store full credit card numbers.
  • Communications — messages you send us via email, contact forms, or support channels.
  • Demo and inquiry requests — information submitted when scheduling a demo or requesting more information.

2.2 Information Collected Automatically

  • Usage data — pages visited, features used, session duration, click patterns, and other interaction data.
  • Device and browser data — IP address, browser type and version, operating system, device identifiers, and screen resolution.
  • Log data — server logs including access timestamps, referring URLs, and error logs.
  • Cookies and tracking technologies — as described in Section 6 below.

2.3 Information from Third-Party Integrations

If you connect the Service to third-party platforms such as HubSpot, we receive data you authorize via those integrations. This may include CRM records, contact data, deal stages, account health signals, and product usage events associated with your customers. We process such data solely to provide the Service to you and in accordance with your instructions.

2.4 Product Usage Signals (Customer End-User Data)

The RetentionZen tracking widget collects account-level behavioral signals from your end users to power churn prediction and retention workflows. This includes:

  • Product interaction events and feature engagement patterns
  • Milestone completions and friction signals
  • Session frequency and recency data

We apply data minimization principles — collecting only what is necessary for forecasting and workflow execution. Where possible, we operate at the account level rather than collecting granular individual-level data.

3. How We Use Your Information

We use collected information for the following purposes:

  • Providing the Service — operating, maintaining, and improving the RetentionZen platform.
  • Account management — creating and managing your account, authenticating users, and processing transactions.
  • Customer support — responding to your inquiries, troubleshooting issues, and providing technical assistance.
  • Product analytics and improvement — understanding how the Service is used to identify bugs, improve performance, and develop new features.
  • Communications — sending service-related emails (e.g., onboarding, security alerts, billing notices) and, with your consent, marketing communications.
  • Legal compliance — meeting our legal obligations, enforcing our agreements, and protecting the rights and safety of our users and the public.
  • Fraud prevention and security — detecting and preventing fraudulent, abusive, or unauthorized activity.

We do not sell your personal information or your customers' data to third parties for their independent marketing or advertising purposes.

4. Legal Bases for Processing (EEA, UK, and Switzerland)

If you are located in the European Economic Area, United Kingdom, or Switzerland, we process your personal data under the following legal bases:

  • Contract performance — processing necessary to fulfill our contract with you or to take pre-contractual steps at your request.
  • Legitimate interests — processing necessary for our legitimate business interests (e.g., security, fraud prevention, product improvement) where those interests are not overridden by your rights.
  • Legal obligation — processing required to comply with applicable law.
  • Consent — where we rely on your consent (e.g., marketing emails), you may withdraw it at any time by contacting us or using unsubscribe links.

5. How We Share Information

We may share your information with the following categories of recipients:

5.1 Service Providers

We engage trusted third-party vendors to help operate the Service, including cloud infrastructure providers, payment processors, email delivery services, analytics platforms, and customer support tools. These vendors are contractually required to process data only on our behalf and in accordance with this policy.

5.2 Business Transfers

In the event of a merger, acquisition, financing, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you of any such change via email or a prominent notice on the Service.

5.3 Legal Requirements

We may disclose information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

5.4 With Your Consent

We may share information in other circumstances with your explicit consent.

6. Cookies and Tracking Technologies

7. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, maintain your account, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymize it using secure procedures.

Customer data processed through the Service is retained in accordance with our Data Processing Agreement and your account settings. You may request deletion at any time (see Section 9).

8. Data Security

  • Encryption of data in transit (TLS) and at rest
  • Role-based access controls and least-privilege principles

To exercise any of these rights, please contact us at [email protected]. We will respond within the timeframe required by applicable law (generally 30–45 days). We may need to verify your identity before processing certain requests.

10. California Privacy Rights (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), provides you with specific rights regarding your personal information. In addition to the rights listed in Section 9, you have the right to know what categories of personal information we collect, the purposes for collection, and the categories of third parties with whom we share it.

Categories of personal information collected: identifiers (name, email, IP address), commercial information (billing records), internet or other electronic network activity (usage data), and inferences drawn from this information to create a profile about you.

We do not sell personal information as defined under the CCPA. To submit a verifiable consumer request, contact us at [email protected].

11. International Data Transfers

Front Porch Ventures Inc. is based in the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate.
